Organization Description

Community Outreach and Administrative Manager

Place of work: 1600 Falmouth Road, Centerville, MA

Department/Unit: Development

Working hours: Part-time. Approximately 20 hours/ week

Benefits: Not eligible

Salary: To be determined based on experience

Reports to: President and CEO


Description of Responsibilities

In addition to strong organizational and administrative skills, the role of Community Outreach and Administrative Manager (COAM) requires knowledge of the key levers that foster wellbeing for vulnerable people and communities. The COAM will use this knowledge to help lead the Cape and Islands United Way’s support for a portfolio of nonprofit partners through outreach, grant distribution and advocacy. The COAM will serve in a key administrative role within the Cape and Islands United Way to ensure operations and procedures related to the Community Impact Grant process and general administration of the organization are efficient and flawless.


The COAM will represent CIUW at community meetings, agency events, statewide and local coalitions/task forces, donor meetings, and other opportunities to communicate CIUW’s mission to the community. Additional support for fundraising events and community-based events will be required to ensure alignment with the mission of CIUW.


The COAM will also perform a variety of administrative tasks essential to the operations of CIUW such as administrative/secretarial support to the board, its directors, and designated committees, subcommittees, and volunteers. This includes:

  • Development and distribution of board packets, minutes, and materials

  • General board correspondence

  • Maintenance of core governing documents such as bylaws, membership lists, and board policy documents

  • Administrative support for the annual meeting

  • Collect mail from post office daily

  • Provide front desk reception services: greet, answer phones, schedule conference room

  • Manage office operations: supplies, orders, designated vendor relationships

  • Prepare daily deposit for all checks, cash, and credit card gifts with appropriate reports. Process checks through remote deposit system


 

Development Manager

Reports to: President and CEO



Job Summary

The Development Manager is responsible for:

  • Participating in the design and execution of a comprehensive development strategy

  • Managing fund raising campaigns in partnership with external consultants, CIUW staff and the CIUW President and CEO

  • Independently identifying development opportunities and assisting in the execution of strategies to capitalize on those opportunities

  • Providing management reports as needed to update the President and CEO as well as the Board on the progress of development activities

  • Supporting all CIUW revenue channels such as events, major campaigns and workplace initiatives

Duties and Responsibilities


Annual, workplace and other related campaigns

  • Initiate contact with business leaders to encourage employee engagement and workplace campaigns

  • Manage workplace campaigns in conjunction with President/CEO and with campaign committee input

  • Help coordinate major campaign events

  • Manage workplace communications, acknowledgments, and receipts

  • Maintain best nonprofit and donor relation practices

  • Manage Development department workplace campaign files

  • Prepare donor appeals and other mailings

  • Plan and execute targeted mailings throughout the year to specific regions


Donor Engagement

  • Identify new opportunities to connect with the existing CIUW donor base, including the Founders

  • Generate and analyze demographic data that will inform fundraising activities

  • Develop and execute creative approaches for increasing donor engagement

  • Follow up after fundraising events to identify new donors and /or to secure additional donations


Database management

  • Manage donor database, including updates, data entry systems, gift and pledge processing, reporting, and acknowledgments

  • Identify and implement systems to ensure the integrity of the database

  • Ensure data accuracy

  • Work closely with Finance department to reconcile gift records

  • Act as the primary liaison with database customer support.

  • Work with customer support to design new reports as needed

  • Produce analytical reports
